With the rise of the internet and advancements in cloud computing, AI, and automation, the word “transformation” has been everywhere for over a decade. Whether it’s in marketing talk, advice from your business-owning friend, government plans, or your own goals, you’ve probably heard it. Digital transformation is a global priority because it helps businesses make more money, spend less, make customers happier, and get the most out of their teams.

In this article, Vitalie Aremescu, CEO of EBS Integrator, and Natalia Ciobanu, Business Analysis Manager, share key components and strategies that drive successful digital transformation. Real stories and practical tips, from using technology to meet market needs to helping organizations adapt and grow. How to educate teams. How to provide effective training, and overcome challenges—to create a culture that works better in today’s fast-changing world.

What makes a successful digital transformation strategy? Let’s see the most critical components that allow companies to win big in the modern market.

Key components of a digital transformation

Change is a natural part of business. Companies evolve by opening new offices, hiring new leaders, and updating policies—it’s the way they grow and adapt. But here’s the interesting part: while people are naturally drawn to the idea of change, they often rush to adopt the “new” without fully understanding it. It’s human nature to embrace what’s shiny and modern, yet many businesses treat digital transformation like a quick fix—a prosthetic for outdated systems—rather than a deep, systemic evolution.

Vitalie Aremescu  | CEO & Founder | EBS Integrator

This is the new normal. Both large and small organizations must transform and adapt to new market conditions to keep growing and performing. It’s not just up-to-date technology but more about rethinking core processes, fostering a culture of innovation, and leveraging technology and data to create an impact that lasts.

However to make this work you need to know what to focus on. We’ve been doing this for 14 years, and the image is more clear from our perspective how to connect the objective to the market through technology. A lot of factors (some from the start, some along the way) appear during the digital trasnformation journey, but let’s consider these we indetified as most crutial to focus on.

• Optimize Business Processes. The speed of data and new tools that help communication have made many old processes outdated”. In the past, manual inventory tracking and paperwork were common, making operations slower and more prone to errors. Today, automated systems help businesses track and manage processes in real time. For example, Carrefour became the first French retailer to use AI in its supply chain with the SAS Viya platform. This system analyzes data from stores, warehouses, and online platforms to predict demand and adjust supplier orders, reducing stock shortages and overstocking.

• Educate a New Organizational Culture .Building a culture that encourages new ideas and quick adaptation is not easy, but is the step one must take to be responsive for what the future holds in the market”. This means fostering an environment where new ideas are encouraged, and the ability to quickly adapt to changes is a priority. The key element here is educating people within the organization and developing the right mindset, from top management to every employee.

• Use Data & Analytics. “Using data to make informed decisions is invaluable for businesses undergoing digital transformation. When companies have access to historical data, the benefits can be immediate.” For example, businesses can make better decisions about product development by analyzing past sales or customer preferences, leading to more accurate results than relying on market speculation. eMAG has become the most visited website in Romania (with over 35 million visits) thanks to the use of data analytics that helped them personalize customer shopping experiences, optimize inventory, and predict demand.

• Enhance Customer Experience. “Offering a personalized experience across all channels is key to influencing customer behavior,” Today, businesses can collect valuable information about where customers are, what information they are consuming at any given time, their current state, and what the last piece of information they received from the business was. This data allows companies to tailor their offers and influence purchasing decisions.

• Adopt Emerging Technologies.Technologies like artificial intelligence, process automation, and cloud computing are transforming industries and open new way for businesses to change how they work“. In e-commerce, AI helps personalize shopping experiences, as seen with eMAG’s recommendations or Lensa’s virtual try-on feature through its app, allowing customers to virtually try on various frames using augmented reality (AR). Moldova is making significant strides in digitalization. The government has approved the Digital Transformation Strategy for 2023-2030, aiming to develop a digital society, enhance the ICT sector, and create an innovative digital economy. Currently, 44% of online public services are available for entrepreneurs and 34% for citizens, with the ultimate goal of digitizing all public services.

Successful DX strategies from our experience

Given the diversity of our client base, we understand that no two digital transformations are identical. Each client brings unique ideas, systems, and value propositions to the market, all of which must be accurately translated into technology solutions.

Natalia Cioban | Business Analysis Manager | EBS Integrator

Digital transformation is about understanding our clients’ business goals through in-depth consultation and aligning strategies with market research. By staying ahead of trends, we deliver solutions that drive sustainable growth and ensure long-term competitiveness through evolving partnerships.

For example we helped a postal service in Eastern Europe take its services to the digital era. The postal service provider faced challenges with outdated, disconnected SaaS systems and slow delivery times, particularly for international shipments.

The App features a courier module that uses an interactive map for real-time route planning and quick task assignment, ensuring efficient deliveries

To solve this, we implemented a unified digital platform that integrated all systems and optimized delivery processes. Key solutions included a Courier App with Interactive Map for real-time route optimization, E-Customs Integration to automate customs declarations, and an E-Commerce API to streamline logistics for businesses. These innovations digitized 90% of operations, reducing errors and delays, and significantly improving customer satisfaction and efficiency in international deliveries.

Another example is in Moldova, where the process of granting Authorized Economic Operator (AEO) status was slow and error-prone due to manual steps. We solved this by integrating it with ASYCUDA World, a customs platform by UNCTAD, automating the process and making it faster and more accurate.

Dashboard of the platform that simplifies the AEO process—document submission, application, examination, and monitoring—enabling real-time tracking and reducing delays.

This integration automated key tasks, reducing manual work and minimizing errors. As a result, the process became faster and more efficient, ensuring quicker approvals and improved compliance with international trade regulations, benefiting both businesses and customs authorities.

Another example is Parents, a popular parenting platform in Romania, which faced challenges with user engagement and sales due to outdated systems and manual operations. Digital transformation was needed to improve their tools, automate processes, and create better marketing and user retention strategies.

Parents app featuring its automated marketing capabilities with push notification and promotions

We developed a mobile app that integrated with their existing systems, automating user management, content delivery, and marketing processes. The app included a digital library, workshops, push notifications, and promotions tailored to users, while also incorporating tracking and business management modules for better workflow and data management. The app now boasts over 50,000 active users and has expanded to multiple countries and languages.

Isn't technology enough?! Why train people?

At EBS Integrator, we develop IT solutions daily. We solve both technological challenges and the complexities of business growth. The dynamic environment we work in demands continuous professional growth, allowing us to learn and adapt alongside our clients.

We don’t just provide solutions based on how we see things; we help our clients understand and use our expertise so they’re ready for the next challenge. After all, technology is only useful if the people using it are prepared—if they’re not, the technology might not work as it should. - notes Vitalie

This approach enables us to help clients, regardless of their size, adopt the mindset and expertise needed for their own digital transformation. One of the key values we bring to our clients is our team’s culture, which is shaped by agile development practices, mechanisms, and processes that form what we call EBS Technology—a framework that has been developed and refined over the past 10 years.

Training is the bridge between innovation and success. By educating our clients/employees early in the process, we ensure that they can not only use new tools but excel in using them to drive long-term success in the organization’s digital transformation. - says Natalia

In addition, our collaboration always includes a dedicated training program after the solutions we develop are delivered and adopted by the client. These training sessions ensure that the solutions are seamlessly integrated into daily activities, minimizing the learning curve and maximizing productivity.

Ultimately, our goal is to empower our clients’ teams to fully utilize the digital solutions we provide, ensuring long-term success in their digital transformation journey.

How you ensure (DX) aligns with business goals?

It’s hard to predict the future, especially when trends can change from year to year, and a single technology can impact entire industries and society. However, at EBS Integrator, we have processes in place that help us stay on track toward long-term goals.

A digital transformation strategy doesn’t happen overnight. For a medium-sized company, it can take a year or more, depending on the industry and the agility of the team. - says Vitalie

We continuously test and validate our plans to ensure we’re aligned with long-term goals. The key is acting quickly, testing hypotheses, and, if they’re validated, scaling them into repeatable processes for sustained growth. This allows us to stay flexible and adapt as new trends and challenges emerge.

Digital transformation is a long-term process that requires a clear vision. It’s not just a one-time project but a partnership with the client, evolving as the business environment changes. We ensure the solutions we offer are not only technologically sound but also aligned with the client’s long-term growth and adaptation goals. - add Natalia

Our approach involves continuous monitoring, feedback, and refinement. Once solutions are in place, we don’t consider the job finished. Instead, we closely track performance indicators, user interactions, and market shifts to ensure that every digital initiative remains not only effective but also relevant over time.

This iterative approach enables us to catch emerging trends early, respond swiftly to changes, and adjust strategies to meet evolving needs. Whether it’s integrating new technologies, optimizing workflows, or enhancing user experiences, we maintain an open dialogue with our clients. This transparency ensures that every stakeholder is aligned on the direction of the digital transformation journey.

Our ultimate goal is to help businesses grow in a sustainable way through digital transformation. By staying flexible, learning from new insights, and working closely with our clients, we create solutions that not only solve current challenges but also prepare businesses for future success.

Are there any hidden 'pleasant' surprises?

Absolutely—and they often go beyond what you’d expect. When companies embark on digital transformation, they gain access to valuable data structures that often answer far more questions than initially posed. For instance, a client seeking optimization might discover opportunities to boost sales by better understanding a revenue stream—entirely through data analysis.

Digital transformation isn’t just about fixing problems, it helps organizations see new paths for advancements says Vitalie.

One surprise is how data insights spark creativity. After identifying patterns, managers often find inventive ways to improve product quality, attract new customers, or launch bold, data-driven marketing campaigns. New technologies can also show entirely new uses for existing products or services, opening up untapped business lines.

Clients often leave strategy sessions with more than solution to current challenges. They get a clearer vision of what’s possible, and develop fresh ideas to stay in the long run - adds Natalia.

These strategy sessions also consider how industries might evolve over the next 5–10 years. By looking ahead, businesses can uncover opportunities that would otherwise remain hidden. And when digital strategies are executed well, clients themselves help drive growth by sharing valuable feedback through their interactions with products.

By efficiently processing this feedback, businesses can enhance their offerings and build sustainable growth strategies. The true hidden surprise? Digital transformation doesn’t just solve today’s challenges—it opens the door to tomorrow’s possibilities.
